Internship Application Tracker: Free CSV Template

An internship application tracker is a record of the opportunities you are pursuing and the next action each one needs. A useful tracker separates an application from an outreach message, records real deadlines, and makes unfinished tasks easy to find. You do not need a complex dashboard to start.

Download the free internship tracker CSV. No account or email address is required. Open the file in Excel, or import it into a blank Google Sheet. The download contains column headings, ready for your own entries; it does not contain leads or job listings.

Set it up in ten minutes

  1. Download the CSV and open it in your spreadsheet app.
  2. Add five opportunities you are genuinely considering. Use a specific team or role where possible.
  3. Set the route to Application, Outreach or Referral.
  4. Add the official role or company page as the source. Only record a deadline if the employer publishes one.
  5. Give each active row a next action and a date for doing it.
  6. Filter by next-action date when you sit down to work on your search.

What the columns mean

Column What to record
Company and role or team The opportunity you would accept, not just a recognisable company name
Location and route Where the role is based and whether you applied, contacted someone or received a referral
Source URL The official listing or page that supports the entry
Deadline A published employer deadline; leave blank if none is known
Contact and contact source The professional you plan to approach and the public professional page where you found them
Status The actual state of this opportunity
Applied date and last contact date Separate dates for separate actions
Next action and next action date One specific task and when you will do it
Reply and outcome What happened, using your own words
Notes Role requirements, questions or context you will need later

You can add a work-authorisation or language column if it helps you screen opportunities. Record what the employer actually says and link to its requirements; do not assume that a city or a company name establishes eligibility.

A worked example

This example is fictional and illustrates how to use the sheet. It is not an available internship or a customer result.

You are interested in a product internship at Example Studio. There is no internship listed on its careers page. Your row has Outreach as the route, an empty deadline and Researching as the status. The next action is “Find the product lead on the company team page”, scheduled for Tuesday.

After finding the person and checking that their role is current, change the next action to “Draft one question about the team's product work”. Once you send the message, record the actual contact date and set the status to Contacted.

If they reply that applications open later, record their answer and the next step. The status is Replied, not Interview. If a formal application is required, add its URL and submit through that process. A conversation does not replace the employer's instructions.

Use statuses you can trust

A short list is easier to maintain than a different label in every row. Our suggested starting set is:

  • Researching: you have not applied or sent a message.
  • Applied: you submitted an application through the required channel.
  • Contacted: you sent a message and have not received a reply.
  • Replied: there is a response to handle.
  • Interview: an interview is confirmed.
  • Offer: you have an offer to consider.
  • Closed: the opportunity ended or you chose to stop pursuing it.

These labels are an organisational suggestion, not a recruiting standard. If one employer has several distinct roles, use separate rows and keep the role titles clear. If you contact several people about the same role, keep their contact history in notes or a separate contacts tab so you do not accidentally count three applications.

Review actions, not only totals

At the start of a session, filter for tasks due today or earlier. Finish responses to people who have already replied, check employer deadlines and then research new opportunities. At the end, give every active row a next action or consciously close it.

Do not treat an empty reply field as a rejection or schedule messages indefinitely. When you follow up, use the actual conversation and any timeframe the person gave you. Our follow-up guide includes message structures you can adapt.

Useful counts include applications submitted, unique people contacted, replies received and interviews confirmed. Keep the units separate. A reply rate based on people is different from one based on individual messages, and small samples can move sharply after a single response.

Is the internship tracker free? Yes. Download it without an account or email address and use it in Excel or Google Sheets. It is a separate resource from the Oportunly product.

Should I track outreach and applications together? You can use one sheet, provided the route and status distinguish a message from an application and a reply from an interview.
